The controller’s legitimate interest

The processing of personal data is based on the controller’s legitimate interest, arising from the event registration.

Purpose of processing personal data

The personal data of participants are collected to help organise events and communicate information about them. We collect only personal data necessary for specific purposes.

Personal data are processed only for the following pre-determined purposes:

  • To organise an event and cater for special needs
  • To distribute information on an event
  • To send invoices relating to an event
  • To collect feedback on an event
  • To market similar events

Photography at events

Minerva Foundation/ Minerva Foundation Institute for Medical Research may use still and/or video photography at events. The photographs or videos may be published on the Foundations/Institutes website or social media accounts or in other publications related to the Foundation/Institute. The material will not be used for commercial purposes and will not be disclosed to third parties.

Individuals who are photographed have the right to object to the use of image material featuring them on the Minerva Foundation’s/ Minerva Foundation Institute for Medical Research’s  website, social media accounts, or other Foundation/Institute -related publications. Objections can be made by contacting the event coordinator or by selecting the option not to be photographed when signing up for the event.

Which data is processed?

The data is collected from people registering for an event and includes their name, email address, organisation, special dietary requirements, and participation information. The data requested may vary depending on the event, but we only collect what is necessary. Data is collected directly during registration through event-specific forms. Information provided by email, phone, or in person may also be stored if it is relevant for the event arrangements.

How long the data is stored for

Registration information will be retained for two years. Contact details may be used to send information about future events in the same field after the event has ended.

To whom are your data disclosed?

We may also outsource the processing of personal data to a third party, such as an event organiser. In such cases, we will make contractual arrangements to ensure that personal data is processed in accordance with data protection legislation and otherwise handled appropriately. A third party may also be responsible for the event facilities, safety and security, or catering.

Transfer of data to countries outside the European Union (EU) or the European Economic Area (EEA)

Data is not disclosed to countries outside of the EU or EEA.

Right to access data

  • Persons have a right to check if they are registered in the Minerva Foundations/ Minerva Foundation Institute for Medical Research register.
  • A request to access such data must be submitted in writing and signed by the person whose data is being requested.
  • The controller may ask the person requesting access to their data to prove their identity.
  • Requests are answered within one month of being received.
  • Requests shall be sent to Cia Olsson (cia.olsson@minervainstitute.fi) or by post to Minerva Foundation Institute for Medical Research, Tukholmankatu 8, 00290 Helsinki. We kindly ask you to include the following in the letter or message: ‘Request for verification of personal data register information.

Right to request correction of data

Incorrect information in the register shall be corrected upon specific request by a registered person

Right to request erasure

The data subject has the right to request the erasure of his or her personal data if:

  • The data subject objects to the processing and there is no justified reason or legal grounds for continued processing of the data.
  • The data processing is illegal.

Right to transfer data

The data subject is not entitled to have their data transferred to another controller.

Right to file a complaint

The data subject may file a complaint with the supervisory authority if they feel that the processing of personal data is in contravention of the General Data Protection Regulation.
